Privacy notice
Pre-launch notice: this operational draft must be approved against Focus Training Centre’s final retention schedule, contracts and supplier list before production launch.
Focus Training Centre uses Training Core Lab to manage learners, courses, assessments, attendance, cards, diplomas and related training operations. Focus Training Centre is responsible for deciding why and how personal information is used for these activities. Technology suppliers supporting the service act only under appropriate instructions and contracts.
Information we use
Depending on the service, this can include identity and contact details, learner photographs, employer and course information, attendance, assessment and qualification records, card and diploma identifiers, communications, payment administration, account activity and audit records. We ask users not to enter unnecessary sensitive or identifiable information into AI assistance.
Why we use it
We use information to provide and administer training, maintain learner and qualification records, produce and verify cards or diplomas, communicate about services, meet awarding-body and legal obligations, protect the service, investigate errors, and operate the organisation. The applicable lawful basis may include contract, legal obligation and legitimate interests; consent is used where the activity genuinely requires it.
Sharing and public verification
Information may be shared with authorised staff, trainers, awarding or regulatory bodies, employers where appropriate to the training arrangement, and contracted service providers. A card or diploma verification link displays only the limited details needed to confirm the credential’s status. It does not expose contact details, date of birth, address, internal notes or other enrolments.
Retention and security
Records are retained only for defined operational, contractual, awarding-body and legal periods, then securely deleted or anonymised. Access is role-based and organisation-scoped. Administrative changes, card production and verification actions are audited. Backups, access reviews, security updates and incident procedures form part of the operational controls.
Your rights
Subject to applicable law, you may ask for access, correction, deletion, restriction, portability, or object to certain uses of your information. You can also complain to the UK Information Commissioner’s Office. Contact info@focustrainingcentre.co.uk to exercise a right or ask a privacy question.
